General Membership Minutes, August 1, 2013

§  Ceremonial opening conducted by Commander Havekost.

§  Chaplain Burnett conducted the opening prayer.

§  Commander Havekost called the meeting to order at 7:24pm.

§  Roll call of twelve members present.

§  Jim Durnal was installed as a member of the Executive Committee.

§  Commander Havekost presented Certificates of Appreciation to SAL Commander Ward for spearheading the drainage project.

§  The reading of the Minutes of the July 3, 2013 Executive Board was suspended. Motion to accept Minutes for Adoption, seconded and passed.

§  The the Minutes of the July 3, 2013 General Meeting were read. Motion to approve Minutes, seconded and passed.

§  Applications/transfers: Thomas McDowell, Navy; Scott Cayll, Navy; and Ronnie Finch, Army, is transferring from NY Post 1539. Paperwork for all new applicants is in order. Motion to accept applicants, seconded and passed.

§  First Vice reported that the Post’s membership renewal is 34.367%. He added that he is no longer responsible for membership since Sheri Martinez has been named Adjutant.

§  Commander Havekost reported that his daughter completed the volunteer project of scanning in all Legion license plates from throughout the Country. The plates were scanned into an electric picture frame and is located in the corner of the Canteen.

§  Commander Havekost stated that we need dinner volunteers on July 14th and July 28th for Legion nights.

§  SAL Commander Tex Ward thanked Wilbur ­­­­Burnett for doing the electrical portion of the drainage project. He stated that the SAL has purchased shirts and hats for resale and then reported on upcoming SAL events. He noted that the wall outside the office has been repainted and will now host all the SAL awards and recognitions.

·         Commander Havekost reported the drink chips used at the Canteen are being phased out as of December 31, 2013. New chips will be used beginning September 1, 2013 and both sets of chips will be used concurrently until the deadline of December 31, 2013. Once this date has passed, the old chips will no longer be honored. The cost of the new chips was $117.95. Motion to approve purchase of new chips, seconded and passed.

§  Mark Dorsey reported that the Past Commander’s Club will host a Low Country Boil on Wednesday, August 6th at 6:00pm. There will also be another Ward’s Landing Reunion in October.

§  Commander’s report read and attached.

§  Website report read and attached. There is a new calendar via Google which is real-time up-to-date.

§  Newsletter report. Please meet deadlines.

§  House Committee Chair Don Mills reported that there are eight events in August, five in September, one in October, two in November, and one in December. He stated that we need to advertise events better. House Committee Minutes are attached.

§  Discussion about building a “lean-to” type of building to house the lawn mower was tabled to the Planning Committee for pricing and planning. Sonny Kirkwood donated $150 for the material for this project.

§  Motion to accept Finance Report for audit, seconded and passed.

Unfinished Business

§  Commander Havekost reported that the Post is getting estimates for the installation of the carpet. Discussion was tabled to the next meeting.

New Business

§  Adjutant Martinez reported that the Post had received thank you letters from all three Boy’s State recipients. The Post also received a thank you for its donation to Special Olympics.

§  Commander Havekost presented a portable PA system for discussion. Motion to purchase a PWIOOT Personal PA System for $250 was seconded and passed.

§  Commander Havekost explained that a portion of the Legion’s insurance was dropped because we no longer qualify for BOP coverage due to deletion of building coverage for an owned building. We can renew Commercial Property, Commercial General Liability, Liquor Liability, and Certified Acts of Terrorism Coverage for the cost of $2,647.43. Last year’s cost was approximately $5,300 because the building was covered. Mark Dorsey said he would follow up with Agent Bob Wilson. Motion to pay the insurance invoice of $2,647.43, the liability portion, by September 1, 2013 if a policy for everything, building coverage and liability, cannot be obtained, was seconded and passed.

§  Dan Wortmann and Sheri Martinez to research shirts and hats for Officers and come back with information at the next meeting.

§  Dan Wortmann noted that the Board listing all the Officers and meetings is missing information. Commander Havekost responded that letters have been ordered and the Board will be corrected as soon as they arrive.
